Virtual webcasts became the norm in 2020

2020 was a year of change and transition for almost everyone, and the same held true for us. In early March, we could no longer work on location at the conventions, meetings and conferences scheduled for Orlando area hotels and convention centers. No one was traveling and going into the office was not an option for most, so alternatives had to be found.

It seemed every company was scrambling to find the best way to stay in touch with employees, vendors and their customers. While some had already been using webcasts and webinars, the pandemic introduced a whole new audience to the convenience of online meetings. There was a fundemental shift in the way everyone communicated. Some liked it, some did not, though we all had to embrace it if we wanted to stay connected.

Orlando Webcasts also made the change from being on location to a totally virtual production environment. We needed to connect anyone to everyone, no matter the location. Every client is different, so the solution is as well. Some clients found Zoom or WebEx met their needs, while others wanted a more polished, professional look to their events. Since we partner with several online platforms, we were able to offer solutions that met both needs and budget.

We worked remotely on live webcasts that featured presenters and speakers around the globe. Regions included North, Central and South America, the Carribean, Europe, Australia, New Zeland, Japan and Southeast Asia. Due to the time differences, we worked at all hours to accommodate our clients.

Remote productions were 100% of our business for several months, but then we started to see a small change. A couple of clients were willing to produce sales presentations with only 2 staff members, plus our three webcast crew members in a large conference room. We all maintained our distance, wore marks and used lots of hand sanitizer! This method was a game changer for our clients as well. While their sales force could not travel to meet with clients and demonstrate their equipment, we could show it virtually. Two-way communication allowed viewers to ask the presenter questions.

Ingenuity led both our customers and our team to new solutions during the pandemic. We still average just one in-person event a month, and those require a COVID rapid test before we enter the venue, but the calls and inquiries increase every week for clients looking to book us on Orlando area events later this year.

We're glad to see 2020 behind us, and look forward to working safely and responsibly with our clients this year, and in the future.

Webcasts and live streams were hot in 2020

The global pandemic required businesses and organizations to rethink how they communicate with their employees, investors and stakeholders. While we've been promoting webcasts and live streaming for a decade, 2020 was the year that nearly every business - and household - discovered the benefits of live streaming video.

Our business model evolved as well. In most years, the majority of our work took place at the client site - whether it be an office, convention or meeting. That worked disappeared overnight in March, replaced with virtual meetings. We connected presenters with their audiences and did it all from our homes using our professional webinar portal.

As we moved through the summer months, clients turned to us for their sales and marketing needs as well. We produced several virtual sales presentations for a medical client, connecting their technical staff with existing and potentials, allowing instrument demonstrations and live Q&A with the presenters on an enterprise-quality webcast platform.

Wrapping up our virtual year

Orlando Webcasts quickly made the switch from on-site to virtual events in the month of March. In the matter of a week or two, we went from being cancelled at one of the largest events at the Orange County Convention Center, to being booked 5 days a week with two of our webcasting partners. Over the course of the year, we also navigated a few on-site webcasts and live streams, especially later in the year.

This year, it looks like we will produce nearly 300 events, about 30 on-site and the remainder fully virtual. They range from sales presentations, equipment showcases and educational workshops to town halls, investor updates and medical discussions.

For each of the virtual events, we record important details, times, phone numbers and other information. We've kept this growing stack of reports, 2 of which fill one side of an 8.5" x 11" sheet of paper.

Orlando Webcasts returns to location production of live stream events

After two months of producing only virtual webcasts and webinars, Orlando Webcast has returned to working on location for client projects. Our first project took us to the Florida Keys, where we connected our presenter with two other presenters in other parts of the country. The three then hosted a virtual event streamed live to their online audience.

Two weeks later, we live streamed two days of virtual product demos for a healthcare company. Clients around the US were invited to view the demonstrations which were streamed to the clients WebEx account. Viewers could ask questions at the end of each demo, providing the presenters an opportunity to share detailed, specific information about the equipment.

This two-camera event included monitor feeds from both pieces of equipment so viewers could see both the hardware and software capabilities and interfaces.

Orlando Webcasts was contracted by Remy Productions to handle the encoding and live streaming of the project.

Virtual meetings are the new normal

With travel grinding to a halt, along with a multitude of other changes to our daily activities, businesses and organizations have had to rethink the way they communicate with their employees, members or other stakeholders. While webcasts and webinars have been popular for more than a decade, their popularity has skyrocketed in the last two months. If someone hadn't heard of a virtual meeting, a webcast or Zoom, they have now. What once was considered an option is now considered a necessity.

Our business model changed as well. The majority of our work was at an office, hotel or conference center. We connected microphones to presenters, lit the room and streamed the presentation live to viewers. I refer to those times as 'the good old days.' Handshakes, breakfast buffets and ice cold meeting rooms are now a fond memory.

Overnight, we pivoted to producing those events in a virtual environment. Presenters are now speaking from their kitchens and home offices. Viewers are watching on phones, tablets and laptops. We connect them in a seamless manner. A webcam on one end, a web browser on the other. We add slides, videos, surveys and polls. Q&A goes directly to the presenters while the audience can chat with other viewers.

User interfaces are intuitive and designed to allow the event, the experience, to be the focus of attention. The technology is there, but works to support the user, not become an obstacle to users to decipher.

Live webinars and webcasts keep companies connected

Daily life for almost everyone has changed in the past month. For those of us in Orlando, March started much as usual, but in the first week, conventions begin cancelling. Walt Disney World closed mid-month, and shortly after that, Florida went on a stay-at-home order. Now mid-April, we have adapted to the new normal as best as possible.

Companies are adjusting to a work-at-home business model. Meetings are Zoom, Blue Jeans or Skype calls. Conventions are virtual and trade shows have become small, live streaming events to customers.

The pandemic has forced the hand of companies and organizations to adopt and integrate video, specifically live video, into their ecosystems. What was once considered a premium or optional service is now a basic requirement. We've all been on calls where interruptions are considered acceptable and normal, whether they be from children, pets or the dreaded leaf blower.

Companies now depend on live streaming to stay in contact with employees, associates, members or the public.

At Orlando Webcasts, we're remotely producing webcast and webinars every week - sometimes four or five events in one day. We recently produced an event covering the COVID-19 outbreak and this public forum had over 5000 live attendees who asked nearly 600 questions to the medical experts on the 1-hour broadcast. Other webinars have addressed the concerns of small business owners, answering questions about the Payroll Protection Program, SBA loans and tips for surviving this ordeal.

Making webcast and live streaming event cancellations less costly

Like you, we've been affected by the coronavirus, and have adapted to how we work with our clients to provide as much flexibility and clarity as possible with our cancellation policy.

We want to make our webcast, live streaming and video production service cancellations less costly to our clients.

Effective Friday, March 6th, 2020, and updated June 10th, 2020, the following cancellation policy will apply for our projects.

Cancellation fees:
11+days; deposit refunded, minus pre-production costs*
7-10 days; 50% of fees paid
0-6 days: 100% of fees paid

Non-refundable: Preparation work we have completed is non-refundable and specifically detailed in the proposal.

Proposals are valid for 10 days, unless indicated otherwise.

*We are providing better clarity on fees that are non-refundable. When we spend time managing your project before the event begins, we'll provide a line item of those anticipated costs. Items in this category include meetings, site surveys, phone calls and emails, booking equipment and/or crews and other pre-production expenses. Those costs are non-refundable.

 

No one likes to cancel an event. It's a decision that upsets attendees, exhibitors, facilities and vendors. It can be a huge financial burden on the sponsoring company or organization. We hope our new policy provides some peace of mind to our clients in a time of uncertainty.
